Tip 01

Plan backwards from move-in

Your target move-in date drives everything. Lock it first, then schedule pickup and transit around it — not the other way around.

Tip 02

Pick the right inbound: advance warehouse vs. show site

Most exhibitors are safest shipping to the advance warehouse. Direct-to-show only works inside a tight, specific window. Know which one your show wants.

Tip 03

Label every single piece

Show name, booth number, and exhibitor name on every crate and carton. Unlabeled freight is lost freight on a show floor.

Tip 04

Crate and palletize for the round trip

Build durable, reusable crates — your freight gets handled many times. Flimsy packaging is where damage and surprise costs start.

Tip 05

Understand material handling (drayage)

Drayage is the show’s charge to move your freight from the dock to your booth and back. It’s separate from shipping — budget for it up front.

Tip 06

Get your paperwork right

A correct bill of lading and material-handling forms keep your freight moving. Keep copies with you and at the booth.

Tip 07

Insure high-value exhibits

Machinery and custom booths are expensive to replace and slow to rebuild. Make sure the value is covered in transit.

Tip 08

Arrange outbound BEFORE you tear down

Have your outbound BOL and labels ready at the booth at close. Freight with no paperwork gets forced to the show’s carrier — on their schedule, at their rate.

Tip 09

Hit the window — not too early, not too late

Ship too early and there’s nowhere to receive it; too late and you miss move-in. The window is real, and we plan to it.

Two ways to get freight to the show.

Every show offers two inbound paths. Which one you choose changes your deadlines, your handling, and your risk. Here’s the plain-English version.

Recommended for most

Advance warehouse

Your freight ships to the show’s receiving warehouse ahead of the show. It’s stored, then delivered to your booth for move-in.

  • Wider, earlier receiving window — far less risk of missing the floor.
  • Freight is waiting at your booth when you arrive.
  • Best for first-timers and anything you can’t afford to have late.
  • Usually carries a modest extra handling cost — cheap insurance.
Tight, specific window

Direct to show site

Your freight is delivered straight to the convention center during the published move-in window — no warehouse stop.

  • Fewer touches and can be lower-cost when timed perfectly.
  • Requires hitting an exact date/time — often a marshaling-yard check-in.
  • Miss the window and freight can be turned away or charged waiting time.
  • Best for experienced exhibitors with flexible, reliable transit.
